1. Rental Term

The term of this Car Rental Agreement runs from the date and hour of vehicle pickup, as indicated just above the signature line at the bottom of this agreement, until the return of the vehicle to the Owner and completion of all terms of this agreement by both Parties. The estimated rental term is as follows:

The Parties may shorten or extend the estimated term of rental by mutual consent.

2. Scope of Use

The Renter will use the Rented Vehicle only for personal or routine business use and operate the Rented Vehicle only on properly maintained roads and parking lots. The Renter will comply with all applicable laws relating to holding licensure to operate the vehicle and the operation of motor vehicles. The Renter will not sublease the Rental Vehicle or use it as a vehicle for hire. The Renter will not take the vehicle beyond any location limit.

Driver's License

  • Valid license from country of residence will be required at time of rental.
  • Also acceptable are temporary license or permit issued when license is lost, stolen or expired.
  • International customers renting in Canada are also required to present a valid international-issued driver’s license at the time of rent and a valid passport in the same name, as a second form of identification.

Age Requirements:

  • The minimum age to rent a vehicle in British Columbia is 21 years.
  • Drivers aged 21 to 24 will be subject to a young driver surcharge.
  • A valid driver's license must be presented at the time of rental.

Driver Authorization:

  • The Renter will not allow any other person to operate the Rented Vehicle unless identified in the agreement as the additional driver.
  • If an unidentified person is found to be driving the vehicle and is involved in any crash or damage, he/she will be solely responsible for all associated costs and damages. Additionally, a $500 fine will be imposed for unauthorized use of the vehicle.

3. Damage Liability

The customer is solely responsible for any damage to the rental vehicle during the rental period. If the damage renders the vehicle unavailable for subsequent rentals, the customer will be liable for:

  • Repair Costs: The cost of repairing the damage, including any parts, labor, and associated fees.
  • Loss of Rental Income: The number of days the vehicle is unavailable for rental services due to repairs. The customer will compensate Public Rental Zone Ltd. for the daily rental rate multiplied by the number of days the car is out of service until it is returned to the rental fleet.
  • Transportation Costs: Public Rental Zone Ltd. will also charge the customer for transportation costs involved in dropping off the vehicle for servicing and picking it up once repairs are completed.

All amounts will be determined based on the scheduled repair time, transportation costs, and the vehicle's listed rental rate on our website.

4. Mileage

The mileage of the Rented Vehicle is the mileage at the commencement of this Car Rental Agreement. Mileage on the vehicle will be limited to ${distance_limit_per_day} km/day. Any mileage on the vehicle more than this limitation will be subject to an excess mileage surcharge of $0.30 per km or $19.99 per day for unlimited km.

5. Rental Fees

The Renter will pay the Owner rental fees for the use of the Rented Vehicle as follows:

  • Base fee:
  • Fuel: Up to $150 if not returned at the same fuel level.
  • Charging: Up to $72 if not returned at the same charge level.
    Currently we are offering no charge for the recharge and you can return the EV at any charge level above 30%.

Excess mileage fees as outlined in Paragraph 4 above.

6. Additional Fees

Out-of-Province Fee: For rentals taken out of the province, an additional charge of $29.99 per day will be applied. This fee covers additional insurance and administrative costs associated with out-of-province travel.

Out-of-Country Fee (USA): For rentals taken into the USA, including destinations like Seattle, Portland, and Oregon, an additional charge of $29.99 per day will be applied. This fee covers additional insurance and administrative costs associated with international travel.

Admin Fee: An administrative fee of $4.99 will be added to the rental charges.

Vehicle Licensing Fee (VLF): A Vehicle Licensing Fee of $2.49 per day will be added to the rental charges. This fee covers the cost of vehicle licensing.

Environmental Recovery Fee (ERF): An Environmental Recovery Fee of $2.49 per day will also be added to the rental charges. This fee contributes to environmental recovery efforts.

Cleaning Fees:

  • Standard Cleaning Fee: A fee of $70 will be assessed for routine cleaning of the vehicle upon return.
  • Specialized Cleaning Fee: A fee of $200 will be charged for specialized cleaning services, including removing vomit, severe stains, or other significant marks.
  • Pet and Smoke-Free Policy: All vehicles are pet and smoke-free. If evidence of smoking or pet use is discovered in the vehicle, an additional fee of $200 will be charged for extra cleaning and deodorizing.

Loss or Damage to EV Charging Equipment: A $500 fee will be charged for the loss or damage of the following items:

  • EV Charger
  • EV Charging Adapter

These fees cover the cost of replacing or repairing these essential components required for charging the electric vehicle.

Additional Charges:

  • Loss of Company Accessories: Any loss or damage to company accessories will incur extra charges.
  • Removal of Company Logos: Unauthorized removal of company logos will result in additional charges.

7. Roadside Assistance

  • Public Rental Zone Ltd. offers optional roadside assistance for $9.99 per day. This includes towing, lockout service, jump-starts, and flat tire assistance. Without this option, the renter will be responsible for any associated costs.

8. Off-Road Policy

Our rental vehicles are intended for regular road use only. Off-roading or driving on non-paved, rugged terrains is strictly prohibited. If it is determined that a vehicle has been used for off-roading, a $200 penalty fee will be applied to the final rental cost. This helps cover potential damage and additional maintenance resulting from such use.

9. Security Deposit

The Renter will be required to provide a security deposit to the Owner in the amount of ${security_deposit_amount} (“Security Deposit”) to be used in the event of loss or damage to the Rented Vehicle during the term of this agreement. The Owner may, instead of collecting a security deposit, place a hold on a credit card for the same amount. In the event of damage to the Rented Vehicle, the Owner will apply this Security Deposit to defray the costs of necessary repairs or replacement. If the cost for repair or replacement of damage to the Rented Vehicle exceeds the amount of the Security Deposit, the Renter will be responsible for payment to the Owner of the balance of this cost.

Ticket Charges: If any parking or traffic tickets are received for the vehicle rented, the charges for these tickets will be deducted from the deposit or charged to the credit card on file. This applies even if the ticket is received after the deposit has been returned. Any additional administrative fees incurred by Public Rental Zone Ltd. in processing these tickets will also be charged to you.

10. Returning the Vehicle

(a) When to Return the Vehicle: The vehicle must be returned in the same condition as received, ordinary wear and tear excepted, at the Designated Return Time identified in the Agreement. Failure to return the vehicle on time will result in an hourly charge for the first 4 hours, after which the day rate will be applied. All rented features, taxes, and fees will also apply. You must contact 604-306-9501 if you wish to extend the rental period.

(b) Where to Return the Vehicle: The vehicle must be returned to the Designated Return Location specified in the agreement. Unauthorized returns to a different location may result in additional fees and penalties.

11. Insurance

The Renter must provide proof of insurance, including damage to the Rental Vehicle, personal injury, and liability for other persons or property. Alternatively, the Renter may purchase Premium Coverage Insurance at $39.99 per day.

Premium Insurance:

  • Coverage for theft, vandalism, and collision damage.
  • $1000 deductible.
  • Up to $2 million in liability insurance.

Standard Insurance:

  • CA$2,000 max out-of-pocket for at-fault accidents or damage claims.
  • Protection for third-party liability up to CA $200,000.
  • Accident benefits like medical and rehabilitation costs, and coverage for hit-and-run accidents

Declined Insurance: The renter is responsible for verifying whether their insurance covers damages or theft of the rental vehicle. Without ICBC Insurance and a valid BC License, you are not eligible to select this option, and you must purchase our Premium Coverage to operate the vehicle legally.

12. After Hours Drop off
For after-hours drop-off, please ensure the vehicle is parked in the designated area and that the keys are placed in the drop box. The vehicle remains the renter's responsibility until it has been inspected and checked in by our team during business hours.

13. Tolls, Traffic Violations, and Parking Tickets

  • The renter is responsible for any toll fees, parking tickets, and traffic violations incurred during the rental period. An additional administrative fee of $9.99may be charged for processing these violations

14. Out-of-province and Cross-Border Rentals

  • Rentals crossing into the U.S. or out of British Columbia, Canada are subject to a cross-border or out-of-province fee of $29.99 per day. The vehicle must remain within British Columbia, Canada unless permission is granted for out-of-province or cross-border use.
  • The renter is responsible for ensuring they carry the appropriate insurance and documentation for out-of-province or cross-border travel.

15. Amendments, Cancellation & No Shows

Early Return or Late Return Fee
We currently don’t charge any fees for early return. For late returns, customers will be charged hourly for up to 4 hours, after which the full daily rate will apply.

For no-shows, customers will be charged the full amount of their reservation.

16. Personal Property

  • Public Rental Zone Ltd. is not responsible for any personal property left in the vehicle, either during or after the rental period.

17. Data Collection and Privacy

  • Public Rental Zone Ltd. may collect vehicle data, including but not limited to GPS information, mileage, and vehicle diagnostics, for safety and maintenance. We respect the renter’s privacy and will not share this data with third parties except as required by law or for operational purposes.

18. Payment Methods and Liability for Additional Charges

We only accept all major credit cards for payments and do not accept Visa Debit or cash. This policy is in place to ensure the security of our transactions and your rental experience. In the event of any traffic violations, parking tickets, or damages to the vehicle that exceed the deposit amount, a valid credit card allows us to process additional charges efficiently. This ensures we can promptly address any issues that arise after the rental period and maintain the quality and safety of our fleet. Visa Debit and cash do not offer the same level of protection and flexibility, which is why they are not accepted.

Charge / credit cards must have available credit for the estimated amount of rental charges plus up to $500.00 in order to secure the rental.

19. Indemnification

The Renter agrees to indemnify, defend, and hold harmless the Owner from any loss, damage, or legal actions arising from the Renter’s operation or use of the vehicle during the term of this agreement.

20. Representations and Warranties

The Owner represents that the vehicle is in good condition and safe for operation. The Renter represents that they are legally entitled to drive and will not operate the vehicle illegally or negligently.

21. Jurisdiction and Venue

This agreement will be governed by Canadian law. Any dispute will be resolved in the corresponding region of Canada.
